The Report of Executive parley with the Registrar and the Exams And Records Department of the Federal Polytechnic, Ede, Osun State On Monday, 19th February, 2018
Following the decision at the last Strategic Retreat of the Executive of the Federal Polytechnic, Ede Alumni; the Secretariat swung into action and having some members of the Executive in attendance led by the National President Shittu B. Olaleye. In the team are, the National General Secretary Oladimeji Olagunju, the Assistant General Secretary – Olumide Akande, Auditor II – Okunola Samson, and the Treasurer Obasanjo Tiramiyu.
The visitation team started with the Exams and Records department in order to have the real-time experience of the activities and the working conditions. The team was received by the Principal Assistant Registrar Mr. Akinwande who briefed the team on the challenges facing the unit’s effective service delivery. Some of the challenges include:
- The manual approach to transcript processing, however, he added that plan is underway for the automation of the process through this cannot be done 100% since there might be need for applicants for transcripts to present evidence of payment.
- The lack of space for office accommodation making the available offices to be choked.
- The Filing room requires air conditioner because of the heat which makes it uncomfortable for office assistants to stay in so as to search for files
The team later moved to the Office of the Deputy Registrar, Exams & Records – Mr. Babawale. He corroborated Mr. Akinwande’s submission that internal memo has been sent to the Management on the prevailing situation in the Unit and also mounting pressure to effect the necessary changes.
The president requested for the Unit’s expectation from the Alumni so as to aid the efficiency of the Unit he responded by asking Alumni Exco to throw the question to the Registrar who will be in the best position to enumerate the desired need.
At the meeting with the Registrar – Mr. A. O. Ogunleye, the President made the intention of the team known and most especially as it relates to the Exams and Records Unit.
The Registrar appreciated the Alumni and commend on the transformative steps being taken. He explained that most of the issues with certificate issuance which includes basically those emanating from students who got married before graduation and effecting the change of names, these are being addressed at the moment and will be permanently resolved while other cases are being looked into to bring a lasting solution.
On the issue of the transcript, it is a great concern to the management though receiving attention but any help from the Alumni will be greatly valued because the Exams and Records unit generates a lot of income for the Polytechnic and should not lack anything.
In his remark, the National General Secretary ask the Registrar to state in definite terms what the wants from the Alumni. The Registrar responded by saying that Exams and Records is presently the only source unit for student results and God forbids if anything should affect the unit coupled with the fact that the Unit cannot accommodate all the files and some are still kept outside of the unit due to lack of space. He is of the opinion that all the possible solutions to this long-standing problems as deemed necessary by the Alumni should be documented for the management to tap into considering the robust resource base of the Alumni.
The president asked on the procedures for students’ award and scholarships. The Registrar directed the Alumni to the Chairman Convocation Committee Dr. Ojo.
